How information from this website is handled.

What the enquiry form does

The website enquiry form prepares a structured email on your device and opens it in your email application. The form information is not stored by this website. VDCA receives the information only if you review and send the email.

Information you may provide

This may include your name, organisation, email address, phone number, vehicle details, project status, proposed modification, intended use, timing and known approval information.

Why VDCA uses it

VDCA uses enquiry information to understand and respond to your request, consider an appropriate scope of work, communicate about the project and maintain necessary business records. VDCA will not use an enquiry for unrelated marketing without a separate basis or permission.

Documents and sensitive information

The first enquiry does not accept file uploads. Do not include passwords, payment-card details, identity documents, confidential designs or unnecessary sensitive information. If detailed documents are later needed, VDCA will discuss a suitable controlled way to provide them.

Security and access

Access to enquiry emails is to be limited to people who need the information for the enquiry or ordinary business administration. VDCA is responsible for applying account-level safeguards, including strong unique credentials and multi-factor authentication, and for reviewing access when responsibilities change.

Retention and deletion

VDCA keeps personal information only while it is reasonably needed for the enquiry, an agreed project, normal business records or a legal requirement. Enquiry information should be reviewed periodically and deleted or de-identified when it is no longer required and there is no legal reason to retain it.

Email providers, disclosures and overseas processing

Your email provider and VDCA's email provider may process or store a sent message using infrastructure outside Australia. Their locations and handling practices are governed by their own services and policies. VDCA may disclose relevant information to professional advisers, technical specialists, testing providers or authorities only where reasonably necessary and lawful for the enquiry or project.

Data incidents

A suspected loss, unauthorised access or disclosure involving enquiry information should be reported promptly to VDCA. VDCA will assess the incident and take the steps required by applicable law, including the Notifiable Data Breaches scheme where it applies.

Access, correction and complaints

To ask what personal information VDCA holds about you, request a correction, report a security or privacy concern, or make a complaint, email matto@vdca.com.au or markg@vdca.com.au. VDCA will acknowledge the request, investigate it and respond within a reasonable time having regard to the issue and applicable Australian privacy obligations.
